I Almost Submitted the Wrong Documents (Thank Goodness I Didn't)
When I was preparing my Canadian student visa application to attend the University of Toronto, I was confused about accommodation proof requirements. I had an Airbnb booking and thought that would suffice. Then I read the guidelines more carefully and realized there's a specific list of acceptable documentation.
What Immigration, Refugees and Citizenship Canada (IRCC) Actually Accepts
Here's what you should submit to satisfy accommodation requirements:
Strongest Options (what IRCC prefers):
- University residence acceptance letter
- Signed lease agreement with landlord
- Letter from a family member confirming they'll provide housing (with proof of their residence, like utility bill)
- Affidavit from a Canadian citizen or permanent resident confirming housing provision
Acceptable Supporting Documents:
- Booking confirmation from a recognized hotel or hostel
- Airbnb or similar short-term rental confirmation
- Letter from the accommodation provider on official letterhead
When I applied, I had both a university residence letter AND a private lease ready. I submitted the university letter because it's stronger, but I had the lease as backup.
The Specifics That Matter
You should know: IRCC doesn't require a permanent address for the entire duration of your study. When I read the requirements, I was relieved to discover that initial accommodation proof is sufficient. They want assurance you won't be homeless, not that you've planned every address for four years.
My letter from the university simply confirmed I had residence for my first year. That was adequate.
University Residence Letters: The Easiest Route
If you're coming from abroad and haven't accepted any accommodation yet, you should request a "proof of admission" or "letter of acceptance" that specifically mentions housing. When You Haven't Secured Accommodation Yet

- Get a letter from your university confirming housing availability (not necessarily your specific unit, just that they'll provide accommodation)
- Include a detailed plan of your accommodation search
- Show proof of funds for housing deposits
When I was in this uncertain period, my advisor suggested I add a brief letter explaining my housing timeline. I wrote something like, "University residence acceptance is pending final administrative confirmation, expected by 28/10/2025. In the interim, temporary accommodation at [hostel/hotel] is booked."
IRCC was satisfied with this transparency.
Proof of Financial Support vs. Proof of Accommodation
You should understand these are separate requirements:
- Proof of accommodation: Where you'll live (actual address or letter)
- Proof of financial support: How you'll pay for housing and living expenses (bank statements, sponsorship letter, etc.)
When I submitted my application, I included both my residence letter AND bank statements showing I could afford the deposit and first month's rent. The financial proof actually helped strengthen my accommodation documentation.
Lease Agreements as Proof
If you're signing a private lease from overseas, you should know the following:
- IRCC will accept a signed rental agreement
- The lease should clearly show your name, the address, duration, and rent amount
- A cover letter from the landlord on official letterhead helps
I signed my first private lease (for the second year) before my visa appointment. I included the lease in my file, and the officer didn't even question it.
What Happens if You List an Address But Change It
Here's a question many ask: if you provide an address on your visa application and then change where you live, is that a problem? When I moved after the first year, I was worried. Then my university's international office clarified: there's no violation. You inform IRCC of the new address once you arrive and update your records. It's completely normal.
You should:
- Submit your genuine planned accommodation on your visa application
- Update IRCC once you arrive if you change residences
- Keep your study permit application records safe (the accommodation address is documented there, not on the permit itself)
Common Documentation Mistakes You Should Avoid
Don't submit:
- Casual WhatsApp messages from landlords (not official enough)
- Vague confirmations without addresses
- Booking confirmations that don't show your full name
- Letters without official letterhead or contact information
Do submit:
- Official university letters on university letterhead
- Signed leases with proper legal formatting
- Confirmations that explicitly name you as the tenant/resident
- Recent documents (within 3-6 months of application)
When I was gathering documents, I realized my original university letter was dated 6 months before my visa submission. I requested an updated letter just to be safe.
Format and Submission Details
You should submit accommodation proof as the following:
- PDF files if applying online (which most people do)
- Certified scans if mailing physical copies
- Clear, legible documents (I re-scanned two letters because the first versions were too dark)
- In English or French (translated if original is another language)
IRCC was very responsive when my initial document was blurry—they asked for resubmission, which I did within a day.
The Timeline You Need to Know
- At least 2-3 months before applying: Secure housing (or get a confirmation letter from your university)
- 4-6 weeks before applying: Gather all documentation and translations
- During application: Include accommodation proof in your initial submission
- After approval: You can change accommodation (just update IRCC)
Final Proof Template You Can Use
When writing to request accommodation proof, you should ask your university or landlord for this information in the letter:
"This letter confirms that [Your Full Name], student ID [XXX], has secured accommodation at [Full Address] from [Start Date] to [End Date]. The accommodation is suitable for student living and meets Canadian standards. For verification purposes, contact [Name, Phone, Email]."
What Worked for Me
I submitted three documents for my accommodation requirement:
- University residence acceptance letter (primary)
- Screenshot of the residence portal showing my booking confirmation
- University's general information about residence standards
IRCC only asked for clarification on one document (which was easily resolved), and my visa was approved within 4 weeks of submission.
